Core Framework

Role-Based Access (RBAC)

Project Overview

The Supplier Dashboard delivers secure, self-service operational and financial tracking directly to partners within the iBOS ERP ecosystem. Previously, manual interventions by core operational staff were required to compile daily reports, generating massive bottlenecks and system transparency lag.

The Business Problem

Scaling volume rendered legacy communications broken. Main friction triggers discovered during scoping:

  • Suppliers operated blindly without native cross-platform ERP identity configurations.
  • Finance, operations, and sales loops were choked exporting ad-hoc ledger statements, GRN updates, and pipeline analytics.

Core System Architecture

Supplier Portal Root
├── Dashboard (Sales Summary, GRN Status, Live Dues)
├── Sales Ledger (Volume, Custom Purchase Rate Matrix)
├── Inventory Matrix (Available Stock, Defect/Damage Track)
└── Automated GRN Tracking (Pipeline Delivery Timelines)

Security & RBAC Enforcement

To eliminate enterprise cross-contamination risks, strict constraints ensure vendors operate exclusively within isolated parameters:

  • Permitted Access: Assigned manufacturing nodes, matched SKU lines, and contextual ledger sheets.
  • Restricted Actions: Global core balance views, configurations editing, or write-access across peripheral accounts.

Key Features Designed

1. Sales Analytics

Real-time tracking of trends and itemized metrics.

2. Inventory Health

Low-stock warnings and replenishment triggers.

3. GRN Pipelines

Live delivery statuses and receiving timelines.

4. Balance Ledgers

Unmatched transparency over current outstanding dues.

Value Delivery Metrics

  • Self-Service Autonomy: Direct downloads for target analytics (.xlsx / .pdf format structures).
  • Infrastructure Scaling: Drastically mitigated back-office reporting burdens on internal workgroups.
  • Zero Data Leakage: Unified mapping safely scales multiple concurrent supply chains.

Key Design Deliverables

  • Product Requirements Documentation (PRD)
  • Information Architecture & RBAC Flow Schematics
  • High-Fidelity UI Interface Widgets & Component Library

Product Designer & PRD Lead

Primary Focus

Fraud Reduction & Security

Verification Modes

OTP / Fingerprint / Face

Project Overview

Apon provides credit purchases for accessible retail solutions. Verification previously depended on SMS OTP at checkout. Network failures or missing mobile phones caused massive queue delays and created fraud risks. The new framework introduces configurable multi modal authentication to protect revenue and speed up checkouts.

The Challenge

  • Phone Access Issues: Customers often lacked access to registered numbers at checkout.
  • SMS Delays: Weak cellular connections caused failed verifications.
  • Manual Bypasses: Store staff skipped steps to clear long lines.
  • Financial Risk: Fraudulent credit utilization led to revenue loss.

Core Authentication Workflows

Fingerprint Authentication

Select Credit → Click Pay → Scanner Detected → Scan Finger → Verified

Lockout Policy: 3 consecutive failed attempts lock the customer credit account for 1 hour with an automated audit log entry.

Facial Recognition

Select Credit → Click Pay → Camera Active → Scan Face → Verified

Lockout Policy: 3 failed attempts place the active bill on hold and restrict the account for 1 hour for admin review.

Security Controls Architecture

Security Area Implementation Standard
Strict Mode Only 1 active verification method per store location
Throttling 3 failed attempts trigger a 1 hour account block
Audit Control Logs terminal ID cashier ID customer ID and timestamps

Core Solution Highlights

  • Centralized Outlet Control: System administrators lock each store location to one active method based on local hardware capabilities.
  • Admin Control Panel: Real time management dashboard to monitor failure thresholds and adjust global settings.
  • Complete Audit Trail: Logs all hardware errors lockouts and successful authentications across terminals.

UX State Management

To reduce store cashier fatigue the UI guides users through dynamic visual feedback states:

  • Device Search & Hardware Connection
  • Visual Overlay Frame Guidance
  • Active Scanning Animation
  • Immediate Success or Retry Alerts
  • Account Lockout Notifications

Measured Business Impact

  • Eliminated Fraud: Biometrics prevent unauthorized access to credit accounts.
  • Faster Checkout: No dependency on SMS networks accelerates line clearance.
  • Lower Workload: Cashiers spend less time manually checking identity documents.
  • Protected Bottom Line: Stopped credit loss and reduced abandoned carts.

Project Deliverables

  • Product Requirements Documents (PRD)
  • End to End POS User Flows & Admin UI Kits
  • Exception Handling & System Audit Interfaces

Apon Retail POS Ecosystem

Outlet Specific Workflows

Architecture

Configurable Shared Core

Project Overview

Khulshi Mart was introduced as a new retail outlet operating under the existing Apon Retail ecosystem. Rather than building a separate POS system, the objective was to extend the existing platform with outlet specific configurations, allowing Khulshi Mart to maintain its own operational workflow while sharing the same core infrastructure.

The Challenge

The existing Apon Retail POS was designed around a shared workflow. Khulshi Mart introduced distinct requirements that demanded flexibility without core system duplication:

  • Supporting unique store behaviors within a single core POS platform.
  • Reducing cashier friction during fast paced customer onboarding.
  • Preventing unauthorized cart modifications at the counter level.
  • Tracking individual operator accountability across multiple checkout lanes.

Smart Customer Handling Workflow

To eliminate queue bottlenecks, we engineered an adaptive lookup and onboarding path based on real world checkout scenarios:

Existing Profiles

Entering a phone number automatically retrieves name, gender, address, and live loyalty points instantly.

New Customer Paths

Option A: Complete profile registration instantly at the register.
Option B: Quick save with phone number only; data team updates missing info later.
Option C: Anonymous purchase using a dedicated No Phone fallback configuration.

Cart Management Matrix

System Role Cart Modification Permission Level
Salesman Strictly unauthorized to remove items from active queues
POS Operator Requires verification or manager override to modify active lines
Manager / Supervisor Full authorization to approve and execute product line removals

Core Solution Modules

1. Outlet Based Configuration System

A centralized module enabling administrators to activate unique features per store. Controls outlet selection, role mappings, and custom feature states without impacting peripheral locations.

2. Outlet Specific Invoice Design

Dynamically prints customized store layouts featuring unique branding, localized store info, custom receipts, and tailored footer contents based on the transaction source.

3. Multi Counter Session Management

Supports parallel active counters and isolated cashier sessions. Enables independent reconciliation tracking without cross lane data contamination.

Individual Cashier Reporting

Shift details are structured around specific operators rather than global store level collections, logging:

  • Operator ID, counter lanes, and precise session timestamps.
  • Granular payment splits: Cash, Card, bKash, and Nagad.
  • Streamlined end of day reconciliation files for backend accounting teams.

Measurable Business Results

  • Optimized Operations: Drastically reduced checkout and customer lookup speeds during peak hours.
  • Enhanced Security: Prevented unauthorized inventory leakage via permission gatekeepers.
  • Scalable Architecture: Built a blueprint for rapid multi store scaling using unified backend logic.
